1. Scope
This notice applies to personal information collected through dataprotectionofficer.co.zw, particularly consultation and quotation enquiries. KM-Spatial is responsible for deciding how that enquiry information is used.
2. Information we collect
The contact form asks for your name, organisation, work email, optional phone number, the type of help requested and the message you choose to provide. The server also uses an essential session cookie to protect forms against forgery and abuse.
Please do not include passwords, identity documents, health records, full breach datasets or other unnecessary sensitive information in an initial enquiry.
3. Why we use it
We use enquiry information to respond, understand the requested service, arrange a consultation, prepare a quotation and maintain appropriate business correspondence. We do not use the contact form to add you to a marketing list without a separate choice.
4. Who may receive it
Enquiries are delivered to the KM-Spatial business inbox and may be accessed by authorised personnel who need the information to respond. Hosting, email and IT service providers may process limited information on our behalf subject to appropriate arrangements.
5. Retention
We retain enquiries only for as long as reasonably needed to respond, manage a potential or active engagement, meet applicable record-keeping duties and resolve disputes. Information that is no longer needed should be securely deleted or anonymised.
6. Security and transfers
We use proportionate technical and organisational safeguards and minimise what the website collects. Where a hosting or email arrangement may make information accessible outside Zimbabwe, the transfer and safeguards should be assessed under the applicable framework.
7. Cookies and analytics
This initial version uses one essential session cookie for security and does not include advertising cookies or third-party analytics. The cookie expires when the browser session ends.
8. Your rights and questions
Zimbabwe’s Act includes rights to be informed, access personal information, object to processing and correct or seek deletion of false or misleading information. To ask about information submitted through this site, email dataprotection@kms.co.zw. We may need proportionate information to verify a request.
